Terms & Conditions

REGISTRATION, CONFIRMATION & CANCELLATION


The EMBO Meeting is administered by the Gesellschaft zur Förderung der Lebenswissenschaften Heidelberg GmbH in Germany (VAT Reg. No.: DE26447107).

Registration will only be confirmed upon full payment of registration fees. Pre-event registration will close on 15 August 2010. Should registration and / or payment be received thereafter, you will receive your confirmation documents upon arrival at the venue in Barcelona.

On-site registration is possible throughout the duration of The EMBO Meeting but only whilst the registration counters are open.

In the case of cancellation of participation before 31 May 2010, registration fees will be refunded less €18 handling fee per person. After that date, no further refunds will be issued.

Name changes are subject to an €18 processing fee per registration. Should participants have any special requests with regard to invoicing, they should kindly let us know when submitting the registration form. A processing fee of €20 will be charged should an invoice have to be re-issued.

Group registration is only available via the PDF registration form.

All prices and details are correct at the time of publishing and are subject to change.

HOTELS BOOKED VIA MCI DEUTSCHLAND GmbH

Deadline for reservation is 31 July 2010. There are only limited numbers of hotel rooms available. Please book your desired hotel as early as possible. If the desired hotel/ category is already fully booked, MCI-Berlin Office /
MCI Deutschland GmbH reserves the right to arrange accommodation in another hotel/ category.

Cancellation of hotel reservations by 31 May 2010 will lead to forfeiture of € 40.00 per person. Thereafter and until 30 June 2010 50% of the booked nights, or at the minimum of a first night will be charged. For cancellations received from 1 July 2010 and no-shows without prior notice, all nights reserved will be charged.

MCI Deutschland GmbH or the hotel reserves the right to debit your credit card account in case of changes, cancellations or no shows. A fee of € 30.00 per person will be charged for changes in hotel reservations. The hotel is liable for damages if the reserved room is not made available. To secure adequate overnight capacity, hotel rooms for the conference were contracted many months in advance.

Hotels occasionally publish online or last-minute promotion rates for a limited number of rooms which may vary from the prices contracted for the conference.

Invited Speakers are not required to use this service. EMBO makes the necessary arrangements for them and they will be notified accordingly.

All prices and details are correct at the time of publishing and are subject to change. This service is offered by MCI Deutschland GmbH and is optional. This can simply be ignored if you wish to make your own arrangements.

LEGAL CONDITIONS

The EMBO Meeting is administered by the Gesellschaft zur Förderung der Lebenswissenschaften Heidelberg GmbH in Germany. The scientific programme is under the organizer's responsibility. Registration fees are collected by MCI Deutschland GmbH on behalf of the organizer. MCI Deutschland GmbH is acting as an agent for professional congress organization (PCO). The liability of MCI Deutschland GmbH for damages - not resulting in personal injury - is limited to three times the invoice amount, provided that the damage is caused neither wilfully nor by negligence. These general conditions and all administrative information are to be considered as the legal basis for all reservations. Verbal agreements are not binding, unless confirmed in writing. Vouchers / documents will only be distributed upon receipt of full payment. Please pay any balance promptly, as indicated on your invoice. There will be no refund or replacement for lost or unused vouchers/ documents issued. There will be no right to lodge damage claims against the organiser in case The EMBO Meeting or parts thereof should be hindered or prevented by unexpected political or economical reasons or force majeure or should last minute cancellation of speakers or other reasons requiring last minute amendments to the programme. For organisational purposes of The EMBO Meeting, participants should agree that data may be used, processed and published (e.g. within the list of participants). These conditions are subject to the jurisdiction of Amtsgericht Mannheim, DE (Magistrate's Court).

CAREER DAY ACTIVITIES & THE FINAL RECEPTION

Participants can pre-register for the career development workshops. The registration is on a first come, first served basis and the fees are non-refundable. Should a workshop still have places available, you may be able to register on-site. If a workshop is cancelled due to unforeseeable circumstances by EMBO, then a refund will be issued.

The Final Reception on Monday 6 September requires a minimum number of participants, should this minimum not be reached, four weeks prior to The EMBO Meeting, the event may be cancelled and if so the payment will be refunded. In the event of cancellation by a participant, no refund will be made. Participants take part in all workshops/events at their own risk.
